Certificates, Attestations, and Appointments: Create and Customize Templates

Learn how to upload and edit custom templates directly in 4HSE to streamline your document management.

Upload and Customize Templates Directly in the Platform

In addition to the default templates provided by 4HSE, users can now upload or create their own templates directly within the platform and associate them with the relevant document types.

The updates introduced in March focus on managing and customizing templates such as Risk Assessment Documents (DVR), training participation certificates, technical and safety sheets, PPE delivery logs, fitness certificates, work environment reports, substance records, official appointments, and more.

For several months, the platform has offered a variety of document templates that can be printed directly or downloaded for editing.

With the release of the new version of 4HSE, you can now upload your custom templates ready for print or edit the existing ones right within the platform using the visual editor or the HTML editor. This new feature provides a significant time-saving advantage for anyone looking to customize templates, eliminating the need to download and edit each file individually (e.g., in Word or HTML).

How to Upload a Custom Template

When it comes to customizing templates, you have two main options:

  1. Upload a custom template
  2. Edit an existing template

To upload a custom template, we recommend doing so via the document archive of the relevant site or project:

  1. Open the reference site and go to the Documents section
  2. Select the desired folder from the tree structure or create a new one
  3. Click on the dropdown menu (New Document) and select New Template
  4. Here, you can upload your custom template (we recommend some familiarity with HTML).

How to Edit a Standard Template

If you prefer to edit one of the pre-existing templates, you also have several options. For example, you can edit the template directly from the document archive by selecting the appropriate folder and template (e.g., DVR).

Click the Edit button, and in the new window, you’ll be able to make changes to the existing template.

Alternatively, you can edit the template just before printing. For instance, if you need to print a PPE delivery certificate, click the Edit button, and a template editor page will open (again, some knowledge of HTML is recommended).
